Manage your organization's team members and their roles

Team Management

The Team page allows you to view and manage your organization's team members - Owners and Employees who help manage the organization and its projects.

Understanding Team Roles

Owner

Full administrative control:

  • Can invite members with any role
  • Can delete the organization
  • Can manage all projects and settings
  • Can remove any team member
  • Can transfer ownership

Best for: Organization administrators, project coordinators

Employee

Project management access:

  • Can create and manage projects
  • Can invite Participants
  • Can view team and participant lists
  • Cannot delete the organization
  • Cannot invite Owners or Employees

Best for: Project managers, coordinators, support staff

Participant

Limited project access:

  • Can participate in assigned projects
  • Can submit carbon footprint data
  • Cannot invite other members
  • Cannot access team management

Best for: Project participants, volunteers

Viewing Your Team

Team List

The Team page displays:

  • Name - Team member's full name
  • Email - Contact email address
  • Role - Current role in the organization
  • Status - Active or pending invitation
  • Joined - When they became a member

Filtering and Sorting

Use the table controls to:

  • Search - Find members by name or email
  • Filter by role - Show only Owners, Employees, or all
  • Sort - Order by name, role, or join date
  • Pagination - Navigate through large teams

Managing Team Members

Inviting New Members

See the Invitations page for detailed instructions on inviting team members.

Quick overview:

  1. Click "Invite Member"
  2. Enter email and name
  3. Select role
  4. Send invitation

Viewing Pending Invitations

Pending invitations appear in the team list with:

  • "Pending" status badge
  • Invitation date
  • Role they were invited as

Canceling Invitations

To cancel a pending invitation:

  1. Find the pending member in the list
  2. Click the "Cancel" button
  3. Confirm the cancellation

The invitee will no longer be able to accept the invitation.

Role Management

Changing Roles

Owners can change member roles:

  1. Find the team member in the list
  2. Click on their current role
  3. Select the new role from the dropdown
  4. Confirm the change

Role Change Permissions

*Employees can only change Participants to other roles

Transferring Ownership

To transfer organization ownership:

  1. Go to Team page
  2. Find the member to promote
  3. Change their role to Owner
  4. (Optional) Demote yourself to Employee

Note: An organization must always have at least one Owner.

Removing Team Members

Removing a Member

Owners can remove team members:

  1. Find the member in the team list
  2. Click the "Remove" button
  3. Confirm the removal

What happens when removed:

  • Member loses access to the organization
  • Their participant data remains in projects
  • They can be re-invited later
  • Their account remains active for other organizations

Cannot Remove Yourself

You cannot remove yourself from the organization:

  • Ask another Owner to remove you
  • Or delete your account entirely

Team Size Limits

Current Limits

  • No hard limit on team size
  • Practical limits based on your plan
  • Contact support for large organization needs

Best Practices

  • Regular audits - Review team membership quarterly
  • Principle of least privilege - Give minimum necessary access
  • Remove inactive - Clean up members who no longer participate
  • Document roles - Keep track of who does what

Troubleshooting

Member Not Showing

If a team member doesn't appear:

  • Check if they're in the Participants list instead
  • Verify the invitation was accepted
  • Ensure you're viewing the correct organization
  • Check filters aren't hiding them

Can't Change Role

If you can't change a member's role:

  • Verify you have Owner permissions
  • Check if they're the only Owner (must have at least one)
  • Ensure the member has accepted their invitation

Security Best Practices

Access Control

  • Limit Owners - Only trusted administrators should be Owners
  • Regular reviews - Audit roles quarterly
  • Offboarding - Remove access when team members leave
  • Monitor invites - Track pending invitations

Sensitive Operations

Only Owners can:

  • Delete the organization
  • Access billing information
  • Change critical settings
  • Remove other Owners
